Informational Clause GDPR for the partecipants and the team leaders of a teams participating in the International Student Team Competition in Mathematics (ISTCiM)

1. Personal Data Controller

The controller of your personal data is the University of Silesia in Katowice. You can contact the controller in the following ways:

2. Data protection officer

You can contact the data protection officer in all matters relating to the processing of personal data and your personal data processing rights in the following ways:

3. The purposes of the processing and the legal basis for the processing

The University of Silesia in Katowice will process your personal data for the purpose of organizing the International Student Team Competition in Mathematics (ISTCiM) in the following scope: personal data of the team leaders (first name, surname and academic title) as well as students and PhD students participating in the Competition: i.e. name and surname, academic title, email address, image shown on photos or screenshots documenting participation in the competition and address data of the university.

The legal basis for the processing of your personal data is, based on Article 6 (1) (a) and (f) of the Regulation 2016/679 of the European Parliament and of the Council (EU) of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation):

1) your voluntary consent to the processing of your personal data for the purposes of organizing, conducting the above-mentioned Competition online, and activities related to its completion, including the preparation of a diploma or a certificate of participation and publishing the results of the Competition on the website at http://istcim.math.us.edu.pl;

The provision of personal data is voluntary, but necessary to participate in the International Student Team Competition in Mathematics (ISTCiM). If the data is not provided, it will not be possible to achieve the above mentioned purpose.

2) your voluntary consent to the use, including dissemination of the image in the photographs documenting your participation in the aforementioned competition, for informational and promotional purposes (Article 81 (1) of the Act of 4 February 1994 on Copyright and Related Rights);

3) a legally justified interest pursued by a higher education institution or a third party through the use, including dissemination, of an image constituting only a detail of the whole image and not the main motif of the photograph (without any facial close-ups, i.e. in such a way as to show the fact that the competition has taken place and not the image of individual persons participating in it), for information and promotion purposes (Article 81 (2), subs.2 of the Act of 4 February 1994 on Copyright and Related Rights).

4. Period of retention of personal data

We will store your personal data for the period necessary to carry out the competition, publish the results of the competition and send certificates, but not longer than until you withdraw your consent to their processing, in accordance with the applicable laws.

5. The recipients of the data

We may transfer your data to processors and other entities to which the controller, on the basis of an agreement on entrusting the processing of personal data, will commission the performance of specific services involving the need to process personal data, and to public authorities or entities entitled to obtain the data on the basis of applicable laws.

The organizers anticipate that the competition may also be conducted in the online form. Therefore, if you will be a participant of an online competition, you must be aware that we will process your image as part of the online competition conducted through the platform……… . . The competition will not be recorded or broadcast externally.

We will make your personal data (i.e. name, surname, academic title and the name of the university represented) available on the websites administered by the University of Silesia istcim.math.us.edu.pl in order to publish the list of winners.

6. The rights relating to the processing of personal data

You have the following rights in relation to the processing of personal data:

1) the right to withdraw your consent to the processing at any time without affecting the lawfulness of the processing carried out on the basis of your consent prior to its withdrawal; You may withdraw your consent by sending a statement of withdrawal of consent to the following email address: istcim@us.edu.pl.

2) the right of access to your personal data;

3) the right to demand that your personal data that is incorrect be corrected or that incomplete personal data be supplemented;

4) the right to request the deletion of your personal data, in particular in the event that you withdraw your consent to the processing when there is no other legal basis for the processing;

5) the right to request that the processing of your personal data be limited;

6) the right to object to the processing of your personal data in view of your particular circumstances, in cases where we process your data on the basis of our legitimate interest, including for the purposes of direct marketing, or for the performance of a public task.

NOTE: in the case of processing for direct marketing purposes, objections may be raised at any time, irrespective of the particular situation;

7) the right not to be subject only to automated decision-making, including profiling;

8) the right to lodge a complaint to the supervisory authority dealing with personal data protection, i.e. the President of the Office for Personal Data Protection.

Declaration of consent to the processing of personal data of the team leader and the participant of the International Student Team Competition in Mathematics (ISTCiM)

After reading the GDPR information clause for team leaders and ISTCiM participants, I hereby declare that:

I give my consent/do not give my consent* to the processing of my personal data (including my image) contained in the application for the International Student Team Competition in Mathematics for the purposes of organizing and conducting online the International Internet Student Mathematical Teams Competition and activities related to its completion, including the preparation of a diploma or a certificate of participation and publishing the results of the Competition on the website at istcim.math.us.edu.pl;

Declaration of consent to the dissemination of the image

I hereby give my consent/do not give my consent* to the processing of my personal data, including the distribution of my image in photographs and/or recordings made during the Competition of Student Mathematical Teams on November 10th–12th 2023, by the Administrator, i.e. the University of Silesia in Katowice, 12 Bankowa Street, 40 - 007 Katowice, for informational and promotional purposes.

Consent includes dissemination of the image, its framing and composition, in the following forms of publication: making available through any medium, including dissemination on websites and in social media. The image will not be used in a way that may violate personal rights. Consent is given free of charge and without territorial restrictions.
